Systems person here, so this is my favorite AI use case by a mile. The hardest part of delegating was always writing the SOPs - documenting every step of every process is tedious and I never got around to it. AI demolished that barrier. My workflow:
- Record myself doing the task while narrating (or just brain-dump the steps messily into a doc)
- Paste it into AI: ‘turn this into a clean step-by-step SOP with a checklist a new VA could follow’
- Light edit, add screenshots, done
Processes that sat undocumented for a year now take 20 minutes each. My whole operation is finally systematized and my VA onboarding went from chaos to handing them a binder of clear SOPs.
This is exactly what tipped me from ‘AI is a toy’ to ‘AI is infrastructure.’ The blocker to scaling is almost always undocumented processes living in the founder’s head. AI removes the friction of getting them OUT of your head and onto paper. I now write the SOP the first time I do any recurring task, with AI, in minutes. The business stops depending on me knowing things, and that’s the whole game for scaling (and for selling, per the exit thread).
i used this to build my customer-service playbook and it was so good. i described how i handle the common situations (refunds, damaged item, where’s my order, the angry one) and AI turned it into a clean decision-tree SOP with template responses. handed it to my VA and she was basically autonomous in days. the thing i dreaded for months took an afternoon.
fair use case, no complaints from the resident skeptic for once - because YOU are still the source of the knowledge, AI just formats it. thats the safe lane for AI: you provide the real expertise and judgment, it does the typing and structuring. just actually test the SOP yourself before handing it over - make sure it didnt ‘helpfully’ add a step you dont actually do or skip one you do.
+1 to testing it first. i had it write an SOP for my listing-upload process and it invented a menu option that doesnt exist lol. easy fix once i caught it but yeah - run the SOP yourself once as if youre the new hire, fix what the AI guessed wrong, THEN give it to your VA. still 10x faster than writing from scratch.
